Add me to the list. I've got some experience with publishing volunteer
civic organization newsletters in pdf format and will pass on my
opinions. I create newsletters in Microsoft Word and convert to pdf
using Acrobat Standard. This is not the free Acrobat Reader. I was
careful to use only "True Type" fonts. These are the fonts that are
installed on computers running the Microsoft Windows operating system.
Other operating systems have similar fonts as the default installation.
Why is this important? Because you can configure the MS Word to pdf
conversion process to NOT embed the fonts in the file. This
significantly reduces the file size, making dial up users happier. The
"True Type" fonts are already present on the receiving computer, no need
to increase the file size. Reduce the resolution of photos before you
include them in the Word document. There is no need for super high
resolution. Think about it. When the newsletter will be printed on the
recipient's computer there are limited dots per inch. The photos should
have the corresponding reduced resolution. The pdf conversion should
use pdf version 5.0 configuration. Any higher conversion versions will
cause problems with recipients that have not upgraded to the 6.0 or
newer Acrobat Reader. Publishing the pdf file on a web site only, and
just e-mailing the link will limit reading the newsletter. Some will
not take the time to visit the web site. Just my five years of
publishing experience, others will have their own opinions. My hats off
to those volunterring to publish the newsletter electonically, it's more
work than it first appears.
