Members-
We have spoken with the Best Western in Leesburg and were provided the below
information for the Vair Fair: Please respond with a vote for or against
this location by 10pm Monday. I will be home all weekend, if anyone would like
to meet at the hotel to look things over before voting, let me know. As a
back up, I'll be contacting the Holiday Inn Manassas tomorrow.

Rooms:
Rate: $99/night with full breakfast (waffles, sausage, eggs, etc - not the
typical continental breakfast)
Rooms have recently been refurbished - all have microwaves & refridgerators..
Hospitality Rooms - 1 on each floor:
Rate: $99.00
Can have Pizza and beer in Hospitality Room - if we use Meeting Room (see
below), we cannot bring in alcohol to Meeting Room, (food and alcohol in Meeting
Room need to be provided by caterer who has alcohol license and food
concession in hotel.)
Room has sleeping arrangements, large table to display items - have snacks,
and nice sitting area with TV, and big bathroom.
Check-In :
Check-In could be handled in main hallway when guests arrive. There is a
large hallway outside the banquet room which hotel advises has been used by
other conferences as the check in area.
Vendors/Banquet Room:
Hotel advises that the full Meeting Room (3 sections) is $750.00/day. Would
need $200 deposit to hold room.
(Hotel can provide discount for the meeting room dependent upon how may
rooms are booked. For example, if 30 rooms are booked, banquet room could be
discounted approximately $200.00. ) The banquet room is on the same side of the
hotel as the show parking lot, so everything is very convenient.
Vendors Room:
Meeting Room is divided into thirds and can be opened into larger
room as necessary. Vendors could use one meeting room for
the day to display and sell items. Then close down late afternoon to
allow hotel to get
room ready for banquet.
Tech Session:
Sessions can be held in one of the meetings rooms for the day. Then
close down late
afternoon to allow hotel to set up for banquet.
Banquet Room:
Full Room for Banquet can hold up to 140 people with large bar. Sit
down dinners are approximately $26.95. Can discuss menu with caterer.
Parking:
The hotel is providing the side parking lot (about 25-30 spaces) to use for
show cars.
There are other areas to park for guests. There are several office complexes
next door to the hotel. They look like M-F type businesses. If we decide to
go with the Best Western, I can find out who I need to talk to for
permission to park RV's, trailers etc.
