CORSA 2012: Next Meeting

Our pre-convention schedule listed a meeting next Saturday, May12th at the hotel.  However, progress made indicates that we don’t need to hold the meeting.  But there are still many things to do. Here’s a list of things, please e-mail with status of progress as it happens. 
1. Massachusetts State Promoters Certificate and Sturbridge Town Vendor Licenses.  Ray Bombardier is hard at work on resolving these issues.  He has been keeping Tom Ludwig and myself up to date.  Both our indoor and outdoor vendor coordinators need to be aware of the requirements that our vendors need to meet.  Ray has coordinated with Sturbridge Township and gotten permission for us to submit one consolidated list of our vendors. The town charges each vendor $10 for a temporary license.  So, the indoor and outdoor vendor coordinators need to provide the names (and any other info Ray will need) an d collect $10 per vendor.  We do not yet have all the state requirements for vendors but ray is working the issue.  It appears that in addition to the state promoter’s certificate we get; each vendor has to register with the state.  How this is done isn’t yet clear.  What we do know is that at the end of the convention we are required to report to the state who were the vendors.  Failure to comply with the town and state requirements will lead to legal trouble  so everyone’s cooperation is absolutely necessary.
2. Trophies.  John T. and I visited the trophy shop in Auburn and spoke to the owner.  We explained our concept to him and he was positive about our plan.  He has sent a proposal giving his prices for providing the trophies.  In my opinion there was room to reduce the price and I asked him to re-submit and to give us a by piece price.  Committee members in charge of the autocross, rally and concours must and I stress must be sure have the results of their event into John Texieria as soon as possible after the close of the event.  John will then get the trophy requirements to the shop.  Remember we are presenting trophies throughout the convention. Look at the schedule to see when the awards for your event are being presented. Valve Cover Races, Model cars and the Car Display trophies are being made by us and will be available.
3.  Door Prizes.  We are way behind on getting door prizes.  So far all we have are a donation of some watches with Corvair logos/pictures on them.  They’re great but we need more.  I’m donating a sealed Corvair model kit.  Does anyone have anything they can donate? Is there an auto parts store or car related business you can hit up for donations?  I know Clark’s will come through—they always do.
4. Goodie Bag Stuffers—Another area where we are flat on our $%^.  So far all we have are car air fresheners with the convention logo.  Ray B. is handling the purchase of them.  He will have them sent to Mike’s hous fro insertion into the registration packages. We need anything we can get.  Ray B. how about checking with Hemming’s?  I tried the phone numbers that Chuck gave me months ago and never connected.  Always got a recording and no call back.  If he knows a contact it would really help.
5. Autocross:  The insurance issue is still festering.  Tom Ludwig is working it but no resolution yet.  Issue is track requirements vs. what CORSA’s insurance company will provide.  Another autocross issue is classification.  Ray Z.  let me know the plan.  John E. , please let me see a simplified tech form soon.  We’ll post it on the web so folks can get a leg up on getting their cars ready.
6.  Labor:  We are going to help  with tasks such as traffic control, autocross corner workers and games set up.  Please recruit anyone from your club who is willing to work.  Doesn’t have to be the whole week—just specific times and locations.
7.  Hospitality:  It’s time we started to finalize our plans.  Everybody can help Elaine by bringing some home baked goods or other goodies (no reimbursement!) .  Talk to Elaine for details.
8. Workers at Events:  In a day or two I'll be sending out a request with details of workers we'll need at specific events.  Please hlp fill the slots.  More to follow.
 
P.S. The June meeting at the hotel is an absolute must for all of us.  Please, clear your calenders.
