Hello all,
As a matter of fact, we have a canopy Alain got from Sprint. I think it is 10' X 10' and we could cover up 'Sprint' easily enough. It got moved to my basement when I did the garage project. We have not used it for anything yet but it may well work for the DJ.

Hi everyone:
Al Harris is on board to be our DJ for Saturday at the Vair-Fair. We need provide him with some kind of shelter to protect him and his equipment from the elements. Does anyone have a portable canopy we could use as a shelter for Al?
He also has some period music but could use more. He can play vinyl and digital/CD. If anyone has music that would be appropriate for the Vair-Fair let me know.

Yesterday, myself, Mark Walters, and Bob Marshall met at the Best Western to do a walk through for our event and meet with Hotel management. Overall, the hotel staff is very supportive of our event and they look forward to hosting us in May. Also, they are currently undergoing an interior renovation of the entire hotel, which is expected to be completed by the end of May. The renovation will have little impact on our event. I've bulleted the highlights of the visit below along with a couple of follow up actions. I won't be able to attend next weeks meeting, but look forward to catching up with everyone in February. Please let me know if there are any questions.
- For this years event we will be allowed to use the Windsor event room for our hospitality space. The only restriction is no alcohol
- We will have 24 spaces available for outdoor vending
- We will have access to the outdoor plumbing to use for a car wash if needed
- The hotel will reach out to me a few weeks before the event to see if the event rooms are available so we can stage everything on Thursday
- They also have a large portable screen we can use for gaming/videos, but we'll need to provide the projector or large scree TV
- The hotel shuttle vans have been reduced from 2 to 1, so it will be extremely important to schedule shuttle service as soon as possible. They generally only shuttle to/from Dulles airport but will make an exception for us to take us anywhere locally including Udvar-Hazy Air and Space Museum.
- We can still host the pizza and beer/valve cover event outside. As with previous years, we need to keep the beer/wine in "unmarked cups"
- Even though we can use the event room for hospitality, I think we should still reserve the parlor room as an alternate location for members to network. Welcome comments on this.
Actions:
Bob - Arrange DJ for outdoor music
Mark - Acquire Corvair videos for streaming in the event room
Ron - Contact Loudoun Tourism bureau for tour info and local events
Bob and Mark - if I've missed anything please chime in.
